In addition to the Cisco Webex software, there is also a web-based version of Cisco Webex for third-party systems, which allows you to use all Cisco Webex functions in the web browser even on systems on which the client software is not installed and set up. In addition, an interface to MS Exchange (e-mail, notes, calendar, tasks) is delivered with the Cisco Webex software setup, which enables you to create web conferences/lectures from Cisco Webex that are transferred or synchronized to your MS Outlook calendar. You can access the Cisco Webex web-based solution via the following URL. Log in there with your university e-mail address and your university user account as described in the Procurement and initial setup section.

How to synchronize your calendars

Interaction between Webex and Outlook

You have two options for synchronizing your calendar in the Webex application with your Outlook calendar.

  1. Automatic synchronization of all appointments: With this option, both calendars are synchronized automatically, regardless of whether the appointments are actually video conference meetings or not. Automatic synchronization is the more convenient option, but you must agree to the further processing of your data on Webex servers in order to use it.   2. Synchronization of individual appointments when creating them in Outlook: When creating individual appointments in Outlook, you can use the additional tool "Scheduler" to create appointments for video conferences. At the same time, these appointments are entered in your Webex calendar. A complete synchronization does not take place. You can read how this works in the next section.

 

Cisco Webex Scheduler for MS Outlook

General

The e-mail extension "Webex Scheduler for Microsoft Outlook" is available for synchronizing individual appointments between Cisco Webex and MS Outlook. The creation of a calendar appointment with an integrated Webex meeting can be created with this extension in MS Outlook or alternatively from Webmail OWA (https://webmail.th-owl.de). An appointment created in this way can then be found in the calendar views of MS Outlook and Webmail OWA and at the same time in the "Cisco Webex" views (Webex client, website https://th-owl.webex.com).

Good to know - The "Webex Scheduler" extension replaces the existing "Cisco Webex Productivity Tools", which were very similar in terms of functionality. So if you already have the "Cisco Webex Productivity Tools" installed, you have two ways of synchronizing appointments. Both products are fully functional without any mutual interactions. Nevertheless, we recommend uninstalling the "Cisco Webex Productivity Tools" extension for the following reasons:

  •  "Cisco Webex Productivity Tools" are discontinued and may no longer function or be available at any time.
  •  "Cisco Webex Productivity Tools" only work with MS Outlook, but not with Webmail OWA
  •  "Webex Scheduler" is the new product for synchronization between Cisco Webex and MS Outlook/Webmail OWA

You can also install and use the Cisco Webex software on mobile devices (smartphone, tablet). Use the links listed below to the Apple (App Store) and Google (Google Play) web stores in a new web browser window/tab. Alternatively, you can also search for "Webex" in the respective web store.

Good to know: Do not confuse the "Webex" software in the App Store with the older, discontinued "Webex Meetings" software.

Performance tips

Which is the best way into the web conference?

We recommend the following order based on stability and speed:

  1. The client software - Cisco Webex software should always be the first choice. Provided you have administration rights for the operating system in question to install it. The systems administered by S(kim) always have the software installed.
  2. The apps for mobile devices (Apple & Google) - The apps also work very well, but not all functionalities are available in these or the rather compact screen sizes require compromises in the display.
  3. In the web browser - Depending on the connection, this scenario is the least performant and should only be used if time is short or there are no access rights for the operating system.
  4. Videophone & telephone - We currently have no measured values for this.
Interaction & compromises

Webex with VPN

The VPN client is not necessary for the operation of Cisco Webex. It is recommended to terminate the VPN connection, especially in the case of poor connections in web conferences. Without a VPN connection, however, depending on the type of conference, access rights for documents on internal university drives or similar (e.g. MS OneNote or similar) may be restricted.

  • Good to know: When changing to a VPN dial-in to the university network from the Internet, but also when deactivating the VPN dial-in (consciously / unconsciously), the connection from Cisco Webex to the telephone system may be interrupted.  This is signaled in Cisco Webex at the bottom right by the text "Connection to telephone services interrupted". To reconnect, the software must be restarted once.
