Several steps are required to use the Cisco Webex software: Activation, procurement, installation and initial setup of the software. In this section, we will show you the basics, without which you will not be able to use the software. In the “Useful features” section below, we show you the set-up steps that add practical functions to Webex in the context of smooth communication and collaboration.

Activation

In order to use the software, a one-time activation in the user portal (IDM) is required. It is not possible to log in to the software without this activation. Please proceed as follows:

1. Open the user portal (IDM): https://idm.th-owl.de
2. Log in with your university user account
3. Two-factor authentication is also required to log in
4.  Select the menu item “Application”
5.  Click on the “Webex activation” field
6. A new window or tab will open
7. Please make sure that your web browser allows this
8. Please read the privacy policy for this service
9. Check the box if you agree to the transfer of your data
10. Click on the “Send” button to activate the service
11. A final pop-up window confirms the activation
12. You will also receive an email about the activation

Good to know: To deactivate the software, repeat steps 1 to 6, remove the tick and then click on “Send”

Procurement

The workstations (computers) administered by S(kim) already have the Cisco Webex software installed. A download and installation is therefore not necessary.

Workstations of students and employees that are not administered by the S(kim) can download the software from the Cisco Webex website for the common operating systems MS Windows and Apple macOS. Please do not log in to this website with your university e-mail address, but simply click on the “Download” link to start downloading the software to your work device.

Initial setup

Students and employees of the university proceed as follows for this initial setup:

• Start the software after installation
• You will find the software in the Windows Start menu under “W” in the “Webex” folder
• Accept the Webex end user license agreement
• Enter your university e-mail address
• This is firstname.lastname@th-owl.de for employees
• This is firstname.lastname@stud.th-owl.de for students
• Now enter your user access (username & password)

After this initial setup, you can read in the next section how to activate further Webex features. However, some of these, such as telephony, are only available to employees.
