Password safe

Both in your professional and private environment, you will work with a large number of passwords for different programmes or Internet services. As a different password should be assigned for each service, it is not easy to keep track of them. We strongly advise against saving passwords in the Internet browser, even in the private sphere.

Instead, we recommend using a password manager or password safe. As an example, we present the free solution "KeePass", which is pre-installed on university administration computers.

Please note that there are a variety of KeePass ports for all possible operating systems. For example, the Apple application is called "KeePassXC", the current Windows application is called "KeePass2" and an Android solution is called "KeePass2-Android". For the sake of simplicity, we will refer to "KeePass" in these instructions.

On Windows computers of the Administration, the IWD and the S(kim), the software is automatically rolled out as "KeePass2". As a user, you can get started right away.

First set-up

General information

In the following, we will show you the first steps for setting up "KeePass". The steps described are based on the German version for Windows computers, as this is the version that is rolled out centrally by S(kim).

However, the functionality of the software is quite similar under all operating systems, so that you can also consult these instructions as a macOS user.

    The KeePass structure

    After the initial setup, you will be taken to the actual KeePass application interface for the first time. This is visually divided into four areas:

    • Horizontal menu at the top (area 1): Here you will find numerous tools for creating new entries, changing the view or creating secure passwords. More on this in the next section. If you are working with several databases at the same time, for example with a personal and a functional database, the databases are displayed as tabs below the toolbar.
    • Vertical menu on the left (area 2): Here you will find an overview of the currently selected database. The folder structure (General, Windows, Network, etc...) is predefined, but can be easily customised. Right-clicking on an entry opens a context menu and you can rename or delete individual folders or create new subfolders.
    • Vertical menu on the right (area 3): The entries for the folder you selected in the left-hand vertical menu appear here. You will learn how to add entries here in the next section. When you start the programme for the first time, you will already find two entries here (Sample Entry). These entries are only examples and can be deleted by right-clicking.
    • Horizontal info area at the bottom (area 4): If you have selected an entry in the vertical menu on the right, you will receive further information about this entry here.

    Adding access data

    General information

    To be able to use KeePass, you must first enter your access data. Here we explain the general procedure. You can see how to create access data for a specific case under the next tab or in our screencast below.

    • In the vertical menu on the left, navigate to the area in which you want to create an entry, for example to the "General" folder.
    • Then click on the "Entry" menu item in the top horizontal menu and select "Add entry". Alternatively, you can click directly on the key symbol in the horizontal toolbar or use the shortcut (Windows: Ctrl+I).
    • Enter the following data:
      • Title: Enter the title of the service for which you want to save the access data.
        • For advanced users: If you want to use a particularly convenient fill-in function later, it is important to enter the title exactly as it is listed as the title in the browser tab of the corresponding page, not to be confused with the URL.
      • User name: Enter the user name for the service you wish to log in to here. This does not have to correspond to the user name of your university account. For many external services (e.g. Amazon), the user name corresponds to the e-mail address.
      • Password and password change: Enter the password for the service here.
        • Tip: If you have not yet assigned a particularly secure password for a service, you can generate one here. To do this, click on the small key symbol with the asterisk. Please do not forget to change the password entered here within the service.
      • URL: Enter the URL of the page on which the login screen can be found.
        • Tip: If you do not want to save access data to a website here, but to an application that is installed on your computer, click on the "Extras" field at the bottom of this form field and then select "Select application URL field". You must then navigate to the start file of the application.

    Finally, click OK and the entry will be added to your database.

    How to use KeePass

    Once you have entered the initial data, you can use KeePass to easily and conveniently enter access data for applications or Internet portals. You can also easily access these applications from the KeePass application. Proceed as follows:

    • In the overview of your entries, go to the URL area of an entry and double-click with the left mouse button. Alternatively, simply select the entry and use the shortcut (Windows: Ctrl+U)

    The URL or application will open and you will be asked to enter your login details.

    • Right-click on the entry in the Kee-Pass application and select "Copy user name" or use the shortcut (Windows: Ctrl+B)
    • In the login screen, select the field in which you want to enter the user name and use the "Paste" command or the shortcut (Windows: Ctrl+V)
    • To enter the password, proceed in the same way. Only to copy the password, please use the shortcut Ctrl+C

    For advanced users: KeePass really comes into its own if you have made sure when entering the title that you have adopted the exact title that is displayed in the name field of the tab when you open a page. You can then start an application from the list of stored entries using the shortcut (Windows: Ctrl+U) and enter both the user name and password in one go using the shortcut (Windows: Ctrl+Alt+A).

    You will find numerous KeePass plug-ins on the Internet that are designed to make it easier for you to transfer your login data. Be particularly careful here. Some of these applications could simply serve the purpose of spying on your access data. The usual copying of data via the clipboard is also not advisable.
